The accounting entry is created automatically; you only enter the work.
When you post dues, record a payment or enter an invoice, the accounting entry is created automatically. Your bookkeeper doesn't write entries, they check them; your accountant sees the ledgers in the panel.
- Uniform chart of accounts
- Automatic vouchers
- Accountant access
Eight words, in everyday language.
The accounting words you will see most often in the panel. Knowing these is enough; your bookkeeper checks that the entries are correct.
Are the accounts in balance? The trial balance tells you at a glance.
If the debit total equals the credit total, the records are in balance; if not, the difference is shown with its amount. You choose the date range; the trial balance is downloaded as CSV or printed.
Everyone sees their own part of the books.
The following are the default settings. The chairman of the board or the responsible manager can change who sees what, section by section.
Every transaction creates its own voucher.
When you post dues, record a payment or enter an invoice, the voucher for that transaction is created automatically. If debit and credit are not equal, the voucher is not saved; manually entered vouchers go through the same check.
Both were created automatically; “Voucher balanced” is shown at the bottom of the screen.
For your bookkeeper: which transaction is posted to which account?
The rules are summarised from Yapıyön's accounting code. Account codes follow the uniform chart of accounts; the property can add its own sub-accounts to the chart.
| Transaction | Debit | Credit |
|---|---|---|
| Dues, common expense and meter charges | 120.01 Unit owners | 600.01 Dues income or the relevant income account |
| Cash collection The receipt is numbered automatically. | 100.01 Cash | 120.01 Unit owners |
| Bank transfer and EFT collection | 102.01 Bank | 120.01 Unit owners |
| Card collection Waits until the settlement reaches the bank. | 108.01 Pending at POS | 120.01 Unit owners |
| POS settlement The commission is posted on a separate line. | 102.01 Bank 780.02 Commission | 108.01 Pending at POS |
| Expense invoice Withholding tax to 360.01 and VAT withholding to 360.02 on separate lines. | 730 / 770 Expense account 191 Deductible VAT | 320.01 Suppliers |
| Supplier payment | 320.01 Suppliers | 102.01 Bank |
| Payroll accrual Amounts are entered manually; no calculation is made. | 770.01 Wages 770.02 SGK employer contribution | 335 Due to staff 360.01 Withholding tax 361 SGK premiums |
| Depreciation | 770.11 Depreciation | 257 Accumulated depreciation |
| Transfer of a debt to enforcement | 128.01 Receivables under enforcement | 120.01 Unit owners |
The accounting shows its own errors.
The General Accounting screen shows six checks with their results and amounts. If a check fails, the bookkeeper finds the missing or faulty entry here without waiting for the end of the month.

Journal, general ledger and trial balance; from the same vouchers.
You don't keep the ledgers separately; they are all different views of the same records. You choose the date range and the report is recalculated for that range.
Financial statements, for any date range you choose.
The income statement, cash flow statement, receivables ageing, VAT report and BA/BS list are prepared from the same vouchers. The statements are printed; the trial balance and the BA list are downloaded as CSV.

All reports on one screen, by topic.
Accounting and ledgers, financial statements, income and expense breakdowns, collection and balance reports are divided into categories. A frequently used report is starred and moved to the front; many reports can also be taken as PDF.
The bank transaction is matched with the ledger entry.
The statement downloaded from the bank's online branch is uploaded and the columns are mapped once. Yapıyön matches the transactions with collections and payments; unmatched transactions are turned into vouchers one by one or in bulk.
- Statement: the transaction file downloaded from your bank (CSV or TXT) is uploaded. If the same transaction is uploaded a second time, it is skipped.
- Matching: money arriving in the same amount and at most three days apart is suggested for matching with the related payment.
- Comparison: the bank balance and the ledger balance side by side; if there is a difference, it is shown with its amount.
- Card payments: money taken by card waits in a separate account until it reaches the bank; once it does, it is recorded together with its commission.
- Bank connection: automatic retrieval of transactions from the bank is set up separately for each bank, under a protocol with that bank.
From an invoice photo to an expense entry.
An expense invoice is entered by hand, from a photo or from an e-invoice XML file. An approved invoice is posted to the supplier's account and to the accounts together.
- Invoice from a photo: the photo or PDF is read on the Yapıyön server and is not sent to an external service. If the e-invoice or e-archive QR code is read, the invoice number, date, amounts and VAT come through exactly.
- Incoming e-invoice: the XML file in UBL format is uploaded.
- Common expense allocation: the invoice amount is allocated to the units equally, by land share or by square metre.
- Supplier portal: the supplier logs in by invitation, sees their own account statement and downloads the reconciliation letter as a PDF.
Period end, with a single closing voucher.
At year end, the income and expense accounts are closed; the year's income and expense difference appears in a single voucher. The closing screen shows all amounts before approval.
For your bookkeeper: the income and expense accounts are transferred through 690 to account 590 Period surplus or 591 Period deficit; a single closing voucher dated 31 December is created.
A record is entered once and is the same everywhere.
The transactions on the left create their own vouchers; those on the right read from the same vouchers. The same amount is never entered on two separate screens.
How do the accounts fall into order from the first month?
Where each step is in the panel is written beneath it. You can follow the same path in the demo panel.

About general accounting.
The answers describe the software as it is today.
Can our accountant log in to the panel?
Yes. A user is created in the Accountant department. By default they see the general, finance, accounting, reports, staff and archive sections; they cannot change any entry. The chairman of the board or the responsible manager can change the permissions.
Can we enter vouchers manually?
Yes. A voucher is entered with the required accounts from the Journal Voucher screen. If the debit and credit totals are not equal, or a line has both a debit and a credit, the voucher is not saved.
Can we add sub-accounts to the chart of accounts?
Yes. New accounts that follow the uniform chart structure are added from the Chart of Accounts screen.
How is the commission on a card payment recorded?
A card collection is first posted to account 108.01 Pending at POS. When the settlement reaches the bank, the net amount is posted to the bank and the commission to 780.02, and 108.01 is closed.
Does Yapıyön calculate the payroll?
No. You enter the payroll amounts such as gross wages, deductions and SGK premiums; Yapıyön creates the accrual and payment vouchers. It does not calculate SGK or tax.
Can we issue e-invoices or e-archive invoices?
No. Yapıyön does not issue outgoing e-invoices or e-archive invoices. The XML files of incoming e-invoices can be uploaded; the QR code on a photographed invoice is read.
Can we export the records to our accounting program?
The trial balance and BA list are downloaded as CSV. There is currently no ready-made export file for Luca, Zirve, Logo or Mikro.
Do the VAT report and the BA/BS list replace the tax return?
No. Both are informational lists prepared from the records; they are not tax returns. Your accountant verifies them before filing.
